POSITION SUMMARY The Bilingual Legal Secretary / Notary provides clerical and administrative support to the judges of the Tribunal of the Archdiocese of Omaha. The legal sphere of this position is that of canon law (the legal system of the Catholic Church). Prior knowledge of canon law is not a prerequisite, but the individual will be expected to learn and assist the judges in carrying out various canonical processes, especially those related to the processing of petitions for the annulment of marriages. PRINCIPAL DUTIES AND RESPONSIBILITIES
Answer incoming phone calls into the Tribunal from parties to cases, witnesses, priests, and others, responding to inquiries about trial processes/taking messages.
Prepare case paperwork and letters in both English and Spanish as needed by Tribunal Judges for various types of tribunal cases.
Serve in canonical roles of “auditor” and “notary” to assist the judges in gathering information and testimony for formal marriage annulment cases.
Prepare and send appeal cases to the Court of Second Instance.
Schedule various types of meetings and assist with calendar management for the Tribunal staff.
Handle IT set-up for Tribunal meetings.
Move, annually, files from the Tribunal library to the archives.
Update file drawers and labels in the Tribunal.
Work with IT department on transition to new Tribunal database system.
Scan and copy files.
Translate English/Spanish documents.
Transcribe verbal or recorded interviews.
Other office duties as assigned by the Judicial Vicar or the judges.
KNOWLEDGE, SKILLS, AND ABILITIES
Fluent in both Spanish and English (reading and writing).

What Youll Do
Youll be the right hand to our litigation team, ensuring cases move smoothly from start to finish:
Prepare and file legal documents: complaints, motions, responses, garnishments, and liens.
eFile and manage court submissions in the Nebraska Justice System.
Track deadlines and ensure timely service of documents.
Communicate with court staff, judges, debtors, employers, and banks in a professional, solution-focused manner.
Conduct skip tracing and investigative research to locate individuals and businesses.
Maintain organized case files and assist attorneys with scheduling and trial prep.
What Were Looking For
Education/Experience:
- Associates degree OR equivalent experience in a legal setting.
- 1+ years as a LegalAssistant or Paralegal (civil litigation experience preferred).
Skills:
- Knowledge of legal terminology and court procedures.
- Proficiency in Microsoft Office and legal case management software.
- Exceptional written/verbal communication skills.

Job Duties: Coordinate and Monitor all Governor's Office Public Records Requests. Complete basic legal research for projects at the direction of the Governor's General Counsel. Coordinate with legal professionals across the executive branch on priority issues. Prepare legal documents as well as everyday letters, emails, forms, etc. Review legal documents for errors and omissions. General Administrative Support. Assist the Department of Administrative Services General Counsel. All other duties assigned within the scope of the classification.
Requirements / Qualifications
Minimum Qualifications: Associate's degree in Paralegal Studies from an American Bar Association approved program at an accredited college or successful completion of a program at an American Bar Association approved paralegal institute. Experience may be substituted for education on a year for year basis.
Preferred Qualifications: Understanding of public records laws.
Other: Regular and Reliable attendance is required.
Knowledge, Skills and Abilities: Excellent organizational and communication skills. Basic understanding of the operations of a law office.
