Operational Management • Supervise, mentor, and support recruitment coordinators and patient engagement staff across all sites. • Review performance metrics, lead conversion rates, and recruitment campaign ROI on a weekly and monthly basis. • Ensure optimal use of CTMS platforms and digital recruitment tools to track leads and manage performance. • Partner with the Marketing team to ensure all recruitment materials and advertisements are compliant, accurate, and consistent with brand standards. Reporting & Data Analytics • Generate and present recruitment performance reports to senior leadership, highlighting trends, risks, and opportunities for improvement. • Maintain a centralized recruitment dashboard to monitor metrics across all locations. • Assist in developing KPIs and performance benchmarks for recruitment staff. Compliance & Quality Assurance • Ensure recruitment activities adhere to GCP, HIPAA, IRB approvals, and sponsor-specific guidelines. • Oversee the documentation, approval, and version control process for all recruitment materials. • Conduct routine audits of recruitment workflows and training programs to ensure regulatory and institutional compliance. Training & Development • Create and deliver training sessions on recruitment best practices, communication protocols, and compliance standards. • Foster a culture of accountability, quality, continuous improvement, and positive patient engagement. Qualifications • Bachelor's degree in Life Sciences, Healthcare Administration, Marketing, or related field (Master's preferred). • 3-5 years of experience in clinical research recruitment, preferably within a site network or CRO. • Demonstrated success managing multi-site recruitment operations and achieving enrollment goals. • Strong understanding of FDA, ICH-GCP, and HIPAA regulations related to participant recruitment and data privacy. • Proficiency in CTMS systems (e.g., RealTime, Veeva, Clinical Conductor) and digital recruitment tools (e.g., StudyKIK, Trialbee). • Excellent leadership, analytical, organizational, and communication skills. • Ability to manage multiple priorities in a fast-paced and evolving environment.
