The Engagement Specialist performs a variety of administrative tasks for the Residential Program and also assists the Admissions & UR Supervisor, Residential Program Manager and Program Director. The Engagement Specialist is responsible for scheduling and referral coordination and follow through.
Responsibilities and Duties
It is the primary duty and responsibility of the Engagement Assistant to:
· oversee the efficient operations of the Treatment Office by maintaining electronic correspondence (fax and copier), memos, and other documentation;
· contact referral sources daily and update/maintain referral spreadsheets;
· coordinate referrals, check and follow through with online referrals, and schedule referral appointments;
· initiate scheduled intakes for admissions counselors;
· engage clients on waitlists and schedule appointments;
· answer and field all front desk calls and conduct preliminary triage;
· complete initial triage forms;
· meet scheduling productivity goals as directed by the Admissions & UR Supervisor, Program Manager and Program Director;
· run and distribute reports;
· maintain and input daily updates on LADDS, OAD census and Service Point information for monthly, quarterly and annual reporting requirements;
· draft requisitions for the purchase of supplies; may involve entering information into an automated system;
· conduct MEVS, background checks, UDS;
· distribute orientation booklets;
· coordinate viewing of mandatory Narcan video;
· update census and discharge reports daily and assign new clients to Counselors;
· participate in staff meeting when necessary; and
· perform other duties as assigned.
It is the secondary duty and responsibility of the Engagement Specialist to:
· maintain and distribute office supply inventory;
· screen incoming mail and draft responses to inquiries for information concerned with matters of non-technical nature and/or matter in which precedents are clear;
· maintain department's records system, including filing and retrieving documents, researching files, etc…;
· maintain inactive treatment files;
· maintain SharePoint files;
· manage client cigarette storage and allotment;
· receive and pass verbal and written feedback to clinical, medical, and other Residential staff as requested about client activity and behavior;
· complete all Incident Reports prior to the end of scheduled shift as required by Incident Policy and Procedure;
· conduct urine screens and complete all required documentation;
· monitor client phone calls;
· assist with filing of client documentation;
· contact the Program Manager in the event of a fire or evacuation of the treatment facility as required;
· contact the Program Manager or the Recovery Support Staff/Behavioral Health Technician Supervisor if the Police or other law enforcement officials come to the Agency;
· scan documentation into the Electronic Health Record;
· enter client information into the Practice Management System; and
· perform other duties as assigned.

Plan and implement engaging activities to promote socialization and community involvement
Handle and use adaptive equipment including wheelchairs, walkers, lifts, etc.
Document participants' daily activities

Spiritual/pastoral support is provided in accordance with on-going wishes and needs of the patient/family
Development of an individualized spiritual/pastoral plan of care which:
Demonstrates an effort to work in close collaboration with local clergy whenever desired by the patient
Provides spiritual support as needed and defined by the patient/family
Conducting religious services of prayer, worship and rituals for patients/families, as appropriate
Offering patients/families of different philosophies and religious beliefs opportunities to discuss and share their thoughts, feelings, beliefs and values
Documenting counseling provided in the patient's clinical record
Working with other professionals in resolving spiritual/pastoral/ethical issues
Working in a team approach with members of the IDG and other qualified professionals, as determined by the hospice, to evaluate patient/family response to care.
Upon request, meeting with individual staff regarding personal spiritual/pastoral issues that may affect their ability to function effectively
Assisting in developing and updating the plan of care
Being available to staff for bereavement support
Assessing patient/family response to and satisfaction with care
Participating in development of approaches to meet staff counseling needs
MINIMUM QUALIFICATIONS:
1. Documented evidence of appropriate training and skills to provide spiritual counseling, such as Bachelor of Divinity, Master of Divinity or equivalent theological degree or training from an accredited school or university. An individual may qualify as a spiritual counselor without said degree if he/she has documented skills to provide spiritual counseling and has received equivalent training and supervision from an individual who meets one of the above qualifications.
2. End of life and/or hospice experience required.
OTHER QUALIFICATIONS
1. Has not been excluded from participating in Medicare and Medicaid programs.
2. Maintains eligibility to participate in Medicare and Medicaid programs throughout employment
3. Capable of providing emergency care as needed for any patient
4. Maintains a neat, well-groomed appearance at all times. Keeps personal appearance appropriate for patient care.
5. Ability and willingness to participate appropriately in a disaster or evacuation situation.
