University Communications drives the University of Oregon's strategic goals through the development and implementation of comprehensive communications and marketing programs. The division manages media relations, digital communications, social media, creative design, writing, editing, strategic communications, licensing, and marketing strategy. Position Summary
The ExecutiveAssistant to the Vice President (VP) for Communications and Chief Marketing Officer provides high-level administrative and executive support to the Vice President, including management of executive time, handling key information, working with the Vice President to proactively plan and prepare for key meetings, presentations and reports. The ExecutiveAssistant acts as a key facilitator and support, helping ensure the VPs time and focus are effectively managed to support the strategic goals of the division. The ExecutiveAssistant acts as a key liaison between the VP, university leadership, and external stakeholders, facilitating smooth communication, coordinating logistics, and maintaining the confidentiality of sensitive matters.
This position requires exceptional attention to detail, particularly with the VP's complex calendar, a high degree of discretion and sound judgment, and the flexibility to plan for expected and unexpected developments.
Minimum Requirements
• Bachelor's degree or equivalent combination of skills, experience, and training.
• Five years of experience providing executive-level administrative support, including calendar management for senior leaders.

• Strong communication abilities, including drafting correspondence and preparing presentations.
• Ability to prioritize tasks, work independently, and handle sensitive information with discretion.

Department Summary
The Office of Internal Audit (OIA) independently assesses and enhances the University of Oregon (UO) risk management, control, and governance practices. It ensures that operations are conducted efficiently, effectively, and in line with policies and regulations, while identifying improvement opportunities and mitigating risks to support the University's strategic goals. OIA is responsible for developing and implementing a flexible annual audit plan that prioritizes areas of highest risk and adapts to the UO's risk landscape.
Position Summary
The ExecutiveAssistant in the Office of Internal Audit provides diversified and confidential administrative support to the Chief Auditor and to the Office of Internal Audit. This position, under the guidance of the Chief Auditor, functions as the first point-of-contact for the department representing IA professionally and confidentially. The ExecutiveAssistant supports the Office of Internal Audit through various administrative and reception duties, including but not limited to: scheduling meetings; maintaining the Chief Auditor's and department's calendars; preparing and editing office correspondence, documents, and reports; providing courteous and efficient receptionist duties; managing the department budget and processing financial transactions, and procuring of supplies and services as requested by the Chief Auditor.
The executiveassistant uses a comprehensive knowledge of UO in support of the Office of Internal Audit, and maintains strict confidentiality as this position has access to sensitive and confidential issues. The executiveassistant is expected to carry out duties with limited supervision and reports directly to the Chief Auditor.
Minimum Requirements
One year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

• Experience using higher education software programs such as Banner, Cognos or Drupal
• Experience providing executive level support
• Experience working in higher education

The newly formed School of Computer and Data Sciences (SCDS) brings together and focuses the University of Oregon's substantial and diverse research expertise to solve next generation computational and data-driven challenges, with impact to society, the human experience, and the world. SCDS trains citizen-students to innovate and interact with data-driven computational tools and to situate computational use to ensure a benefit to all. SCDS comprises 34 faculty, 800 undergraduate majors, 70 graduate and doctoral students and its courses annually reach over 1000 students university wide. SCDS is positioned in the College of Arts and Sciences (CAS) and works with the college and university to accomplish shared goals.
Position Summary
The ExecutiveAssistant (EA) supports the work of one or more executives in the SCDS leadership structure. The EA is responsible for a broad set of assignments related to the duties of the leadership they support, and will be required to manage complex issues that accompany advancing the SCDS's strategic vision and mission. The EA uses independent judgment and decision-making skills to support the work of SCDS leadership.
The EA provides executive-level administrative support by maintaining calendars, notetaking and meeting preparation on behalf of executives, assisting with communication and information flow (including sensitive and confidential material) including responding to and sending communications on behalf of the executives and, coordinating committee work, projects, programs, and events critical to the mission and work of SCDS.
The EA is a vital member of the SCDS administrative team and must exhibit appropriate and collegial behavior in a team environment, as well as the ability to create a welcoming and professional atmosphere.
This position regularly interacts with faculty, staff, and key university partners including academic leadership in the offices of the President, Provost, Vice President for Research and Innovation (VPRI), Division of Undergraduate Education and Student Success (UESS), Enrollment Management, Campus Planning & Facilities Management (CPFM), and other schools and colleges. The EA must exhibit a high level of sensitivity, confidentiality, and cultural awareness, have the ability to work both independently and as part of a team, demonstrate sound judgment, and exercise creative problem-solving.
Minimum Requirements
Three years of clerical/secretarial experience which included:
one year at a full performance level performing typing, word processing, or other generating of documents; and
lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.
No substitution will be made for the one year at the full performance level.
