Summary
The Mailroom & Distribution Clerk is an essential part of daily operations, responsible for the accurate, secure, and timely flow of mail, packages, and materials throughout the campus. This role requires a detail-oriented, dependable professional who takes pride in efficient service and enjoys working in a collaborative environment. Flexibility and teamwork are key, as this role supports both mailroom functions and facility-wide operational needs when required.
Key Responsibilities
Mail & Package Delivery: Ensure timely and accurate delivery of interoffice mail, parcels, and materials to departments across the campus to support smooth internal operations.
Shipping & Outbound Logistics: Prepare and process outgoing packages, selecting the most effective and secure shipping methods based on delivery timelines and requirements.
Mail Systems Operation: Utilize shipping and postage systems (e.g., UPS, FedEx, USPS platforms) to track mail, process shipments, manage accounts, and maintain supply levels.
Security & Tracking: Log and track incoming deliveries-especially high-value items-to ensure accountability and secure handoff to the appropriate recipients.
Courier Coordination: Arrange and oversee scheduled pickups and deliveries with external carriers to ensure timely transport of critical materials.
Cross-Department Support: Assist other teams as needed, including facility support, event preparation, public-facing tasks, and high-volume coverage.
Required Qualifications
High School Diploma or equivalent.
At least 1 year of experience in a mailroom, warehouse, logistics, or similar high-volume operational environment.
Proficiency using computer systems and specialized shipping tools (such as UPS/FedEx software).
Strong communication skills with the ability to interact professionally with staff and external partners.
Excellent organization and record-keeping skills with strong attention to detail.
Ability to perform physical tasks including lifting up to 50 lbs., standing/walking for extended periods, and moving items throughout the facility.
Preferred Qualifications
Familiarity with domestic and international shipping regulations, including customs and hazardous materials requirements.
Demonstrated ability to troubleshoot logistical challenges, identify process improvements, and work independently with minimal supervision.
CompensationThe pay range for this position is $20.10 per hour. This range represents the minimum and maximum pay that Hospitality Staffing Solutions reasonably and in good faith believes it will pay for this role at the time of posting.

The Mail Processor is responsible for handling all incoming physical mail and fax communications related to beneficiary and Employment Network (EN) matters. This position receives, opens, sorts, and processes mail and faxes, ensuring that documentation is accurately routed to the appropriate staff or department for timely action. The Mail Processor also archives and maintains records of processed correspondence, following established protocols for document retention and privacy requirements. This role requires a high level of attention to detail, strong organizational skills, and the ability to work efficiently with minimal experience required.
Duties and Responsibilities:
• Receive, open, sort, and process incoming physical mail and faxes.
• Route documentation to relevant personnel or departments for follow-up or action.
• Archive and maintain records of all processed mail and faxes according to procedures.
• Ensure all beneficiary and EN-related correspondence is handled with confidentiality and accuracy.
• Support document retention practices and comply with privacy and data protection requirements.
• Assist with general clerical tasks as needed.
Requirements:
• High School diploma or equivalent.
• 0-1 years of experience in mailroom, clerical, or office support roles.
• Attention to detail and ability to accurately process and route correspondence.
• Strong organizational and time management skills.
• Familiarity with handling sensitive or confidential documents.
• Ability to work independently and follow established procedures.
Must be able to obtain and maintain a SSA Public Trust Clearance

Follows all Best Western's procedures for guest/team member's incidents. Knowledgeable of hotel emergency procedures.
Self-Management: Produces required volume of work by planning, organizing and prioritizing work duties. Adheres to Best Western's attendance policy, grooming and appearance standards, and general work rules and department procedures. Attends all required department and hotel meetings. Responsible for proper use of all equipment and supplies.
