    Become a part of our caring community and help us put health first The Lead - Finance Special Projects is responsible for driving targeted process improvement initiatives within the Finance function. This role partners closely with Finance leadership and cross-functional teams to identify, design, and implement solutions that optimize operations, increase efficiency, and promote the adoption of emerging technologies. Lead and execute special projects such as benchmarking, process redesign, identification and implementation of automation opportunities, and reporting enhancements. Partner with Finance teams and relevant stakeholders to assess current processes, recommend solutions, and drive the execution of approved initiatives. Facilitate collaboration and the sharing of best practices across Finance, acting as a connector between teams to promote alignment and continuous improvement. Develop project plans, manage timelines, and monitor progress to ensure timely and successful delivery of process improvement objectives. Support the change management process by developing training materials, communications, and capability-building programs as needed. Prepare reports and presentations to communicate project outcomes and recommendations to leadership and other stakeholders. Track and report on key performance indicators and value metrics for process improvement projects. Use your skills to make an impact Required Qualifications Bachelor's degree in Finance, Accounting, Business Administration, or related field; advanced degree preferred. 6+ years of demonstrated experience in benchmarking, process improvement, project management, or transformation initiatives, ideally within Finance or a related corporate function. 2+ years of project leadership experience Strong analytical, problem-solving, and organizational skills. Proven ability to synthesize complex information and communicate effectively with diverse audiences. Experience with process design methodologies, automation technologies, and reporting tools is highly desirable. Exceptional interpersonal skills and a collaborative approach. Offers strong financial management skills, compliance expertise, and a consistent record of on-time, dependable results. Integrates seamlessly into Kapili's structured processes while requiring minimal oversight. Core Responsibilities 1. Project Setup & Buyout * Lead project setup using Kapili OS so each job launches organized, compliant, and ready for success. * Manage buyout end-to-end: review estimates, negotiate subcontractor scopes, drive material procurement, and align the schedule. * Establish accurate baseline budgets and ensure job cost structure is correct from the start. * Work closely with Accounting on contracts, NTPs, compliance, and subcontract execution. 2. Planning & Scheduling * Build and maintain detailed project schedules that set clear expectations for the field and your clients. * Plan mobilization using Kapili's lead-time standards to keep production predictable and on track. * Identify long-lead materials early and secure procurement before they impact schedule. * Coordinate manpower and equipment needs with Operations to deliver efficient, well-organized projects. 3. Submittals, RFIs & Compliance * Manage the entire submittal workflow inour construction management software and ensure all approvals stay ahead of the work. * Ensure regulatory compliance including certified payroll, prevailing wage, and project-specific QC requirements. * Write and track RFIs that move design decisions forward quickly. * Enforce QC/QA requirements across institutional, educational, and government-regulated projects. 4. Financial & Contract Management * Own your project financials-budget control, cost events, forecasting, and change order management. * Ensure accurate alignment between construction management platforms and ERP systems for commitments and billing. * Issue monthly progress billing and maintain contract compliance. * Make informed decisions that protect margins and reduce risk. 5. Field Leadership & Quality * Lead all key coordination rhythms: site huddles, subcontractor meetings, and OAC meetings. * Support foremen and inspectors with forward-looking communication and clear expectations. * Perform site walks to verify quality, safety, and schedule progress, taking action where needed. * Uphold Kapili's craftsmanship standards and elevate field execution. 6. Communication & Stakeholder Management * Act as the primary point of contact for owners, GCs, inspectors, and agencies. * Maintain transparent communication with Estimating, Operations, Accounting, and Sales. * Keep the CRM system updated at each customer-facing stage. * Build strong relationships through proactive, professional communication. 7. Documentation & Closeout * Maintain excellent documentation that reflects the professionalism of Kapili's project delivery. * Oversee commissioning, warranties, O&M manuals, punch lists, and record drawings. * Ensure all closeout deliverables are completed within contract timelines. * Capture lessons learned and contribute new ideas to Kapili's Kaizen culture. Required Qualifications * 6+years of experience in construction, roofing, or project support roles. * Strong understanding of construction sequencing, safety practices, and commercial contracting. * Previous responsibility for managing mid-scale projects independently. * Ability to read plans/specs and interpret technical roofing details. * Proven skill in budget and job cost management, and subcontractor coordination. * Proficiency with construction management systems, MS Office, and construction documentation. * Strong communication, organization, and problem-solving skills.
