Job Duties:
Executive Administration & Support
· Assist the Executive Director, Executive Support in coordinating and executing executive priorities & support
+ Provide administrative support to the Chairman, CEO/President, VP of Community Affairs/Chief of Staff, and other executives
+ Manage complex calendars and coordinate meetings, special projects, and high-sensitivity activities with precision.
+ Arrange executive travel, prepare detailed itineraries, and process expense reports.
+ Coordinate executive engagements, corporate hospitality, and leadership-related events.
+ Support executive meal coordination (daily/weekly), including setup and cleanup.
Executive Suite Management & Hospitality
+ Maintain the executive suite (including meeting rooms and dedicated areas) to ensure a polished, professional environment.
+ Greet and host visitors, providing high-level hospitality and client-facing support.
+ Answer and direct calls on multi-line phone systems with professionalism and discretion.
Office & Financial Operations
+ Purchasing, financial reconciliations, and credit card expense tracking for Executive Support Office
+ Maintain and organize digital and physical filing systems.
+ Handle executive correspondence with professionalism and confidentiality.
+ Support payroll and accounts payable processing for associated business entities.
+ Track receipts, manage petty cash, and maintain related documentation.
+ Perform occasional local errands and manage the company courier vehicle.
Personal Support
+ Coordinate personal engagements, gifting, benevolence initiatives, and special events when appropriate.
+ Facilitate personal meal arrangements, purchasing support, and household or service coordination.
+ Arrange repairs, services, and maintenance for select executive-related properties.
+ Perform additional administrative, logistical, financial, and personal support tasks based on executive priorities, including after-hours responsiveness when required.

JOB SUMMARY
FPDS is seeking dedicated Under the Oaks Summer Program Workers (Part-Time) to assist our Director and teaching staff each day. Under the Oaks (UTO) Summer Workers, under the direction of the UTO Directors, are responsible for providing safe, nurturing, and fun care for students in Preschool 3 through Grade 6, while creating a positive, Christ-centered environment. JOB TYPE, SUPERVISION AND REPORTING RELATIONSHIP
This job is for part-time employment during the summer, May 28, 2025 through July 30, 2025. Hours of operation are from 7:30 am - 6:00 pm daily, Monday through Friday. Shifts are typically between 4-5 hours. The job reports to the UTO Director.
RESPONSIBILITIES
Focus: Reflect the overarching purpose of the school, which is to honor Christ, in every activity. Help enforce the school's behavior and safety policies while maintaining a loving, Christ-centered atmosphere.
Supervision and discipline: Supervise students in Preschool 3 through Grade 6 during UTO activities. Assigned activities and student age groups may vary daily. Organize and lead assigned activities such as games and outdoor play that promote social, emotional, and spiritual development. Assist with set-up and clean-up after activities, ensuring spaces are left in good order for the next day. Keep proper discipline in the classroom and on all school premises. Follow the Matthew 18 principle in dealing with conflict.

PERFORMANCE MANAGEMENT
At least once each summer the UTO Director will provide an assessment of each UTO Worker's performance and conformity with the responsibilities and personal qualities required of the job. The assessment will identify areas of excellence, areas needing improvement, and progress on previously identified areas needing improvement. The results of the Director's assessment will be filed in the UTO Worker's performance file.
COMPENSATION AND BENEFITS
UTO Workers will be compensated on an hourly basis, payable monthly. They are not eligible for FPDS's group benefits.

A DAY IN THE LIFE OF AN ADMINISTRATIVE ASSISTANT - SCHEDULER & DISPATCHER
SCHEDULE:
This part-time position is available Monday through Friday with two shift options: from 7 AM to Noon or from 11 AM to 4 PM. Depending on your availability, you will have the flexibility to choose one of these shifts. There is a 1-hour overlap between the two shifts for review and hand-off of tasks with another part-time employee in a similar role.
In this role, your friendly personality shines through in every interaction, whether it's via phone, text, or email. Our customers enjoy interacting with you as you discuss their septic system needs. Following our in-house training curriculum and ongoing education from some of the most knowledgeable and skilled operators in the wastewater industry, you will be prepared to provide basic troubleshooting ideas and determine if the customer's septic system issue warrants scheduling a service call in our highly-ranked all-in-one web-based software. Maintaining applicable confidentiality, you discuss payment options and terms. With tact and empathy, you listen and document any complaints and report them to our management team.
As our Administrative Assistant - Scheduler & Dispatcher, you use your strategic planning skills as you take into account other work orders, location, distance, meetings, vacations/holidays, and more in order to schedule jobs for our team of technicians as efficiently as possible. You dive in and tackle a variety of admin and data entry tasks, such as making necessary maintenance appointments, collecting and processing payments, validating/reconciling invoices, and more. Accurately performing data entry, you ensure our records are up to date, including vehicle maintenance records, accounting reports, inventory audits, and quality assurance surveys. Being an organizational guru, you shine in this administrative assistant role!
ADMINISTRATIVE ASSISTANT - SCHEDULER & DISPATCHER QUALIFICATIONS
Relevant customer service, phone, and data entry experience
Quick and accurate typing skills
Applicable knowledge of Microsoft Office software
Computer savvy; can quickly learn basic database functionality
Able to use typical office equipment
Valid driver's license and reliable transportation
