Essential Functions : The Department Coordinator serves as a key operational and administrative support professional, providing a high level of coordination and oversight within a fast-paced, multifaceted organizational unit. Under general direction, the incumbent is responsible for independently performing a wide range of complex administrative functions requiring sound judgment, initiative, and thorough knowledge of office and operational procedures. This position ensures the seamless execution of daily administrative operations, including but not limited to: budget tracking, procurement, calendar management, event coordination, personnel and payroll documentation, and maintaining compliance with institutional policies and procedures. The Department Coordinator acts as a liaison between the department and various internal and external stakeholders, fostering efficient communication and continuity of services. The incumbent is expected to demonstrate professionalism, discretion, and attention to detail while upholding the values of confidentiality, accuracy, and organizational excellence. This position requires the ability to manage competing priorities, interpret policy, and contribute to the long-term success of the department through reliable and consistent support.
Required Qualifications & Experience : Equivalent to four years of general office experience which includes operational or procedural administrative support work performed and/or on-going work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Incumbent must have experience to be fully functional in all technical aspects of work assignments; thorough knowledge of office software packages (including word processing, desktop publishing, spreadsheet and database functions), technology, and systems. Must be detail-oriented and have the ability to handle multiple work unit priorities and projects. Must have thorough analytical skills and the ability to independently apply a wide variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures with the ability to track financial data and make simple projections. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures. Excellent verbal and written communication skills and a thorough knowledge of English grammar, punctuation, and spelling. The incumbent must have the ability to take minutes and track action items; respond effectively to rapidly changing conditions; effectively handle a broad range of Interpersonal contacts, including those at a higher level and those sensitive in nature; interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist; understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; perform business math, analyze budgetary data, and make accurate projections requiring some inference; effectively write and present own reports; and to use negotiation and persuasion skills to achieve results and expedite projects. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. About the Role:

Key Role Accountabilities:
Operations:
Work within the Export & Import Operations team, to complete shipments from start to finish always ensuring excellent customer service.
Update comments and actions within the Company system to allow understanding of workflow and handling of shipment specifics without the requirement to locate individual file.
Delete any unnecessary emails, to ensure efficiency and Best in Class service.
Investigate and implement the most cost-effective dispatch of each shipment in accordance with the customers' instructions.
Liaise and negotiate with the suppliers to ensure their costs are being provided at the time of booking.
Manage all necessary documentation and online forms for the efficient, cost-effective and lawful execution of all import activities.
Provide 'collection / delivery notes' and / or notification 'in writing' of all relevant collection / delivery instructions.
Ensure Customs Entries are being completed as per the written instructions from the customer or as per the agreed customer SOP and are completed to a high standard.
Liaise with Warehouse and Transport Team for reliable distribution for imports / exports.
Arrange direct drives as per customer requests.
Arrange On Board Couriers when necessary.
Ensure that any customer service failures, billing issues, other issues and / or errors are reported without delay to the Station Manager and Head of Operations US
Customer Specific Accountabilities:
Manage up to 800 shipments, ensuring a proactive, efficient and compliant customer experience, including responding to and resolving queries and providing timely shipment updates.
Complete AES filings accurately and timely.
Coordinate pick-ups and deliveries with relevant transport providers.
Plan and execute routing of shipments.
Create AWB from A-Z, managing the full AWB lifecycle.
Manage customer specific inboxes and other correspondence, managing a high volume of shipment requests and responding to customer emails and calls in a timely manner and to agreed B&H standards.
Handle AOG (Aircraft on Ground), routine, and critical shipments with priority and care.
Provide Inventory / Warehouse support as required, including but not limited to:
Monitor the receipt, booking in and dispatch of all Cargo/Goods and record data in accordance with B&H procedures.
Ensuring freight is screened in accordance with TSA compliance, is handled correctly and is located and identified as "Known Cargo".

We seek an exceptional individual to join our team as the Online Programs, College Curricular Initiatives and Funded ProjectsCoordinator (Administrative Support Coordinator I). The Administrative Support Coordinator will provide administrative and professional support for the College of Engineering and Computer Science (ECS) online degree programs and related curricular activities, degree programs and curricular initiatives administered by the ECS Dean's office, and post-award support for all funded grants and projects. Work will include assisting the Program Coordinators with semester course schedule building, compilation of student recruitment plan, email communications to cohorts to assist with registration and course options, preparation of study plans and graduate checks, and other student interactions, by phone, email, and in person. Will assist with travel and purchasing as needed. These programs are a part of larger departments, and coordination with department personnel will be ongoing.
The Administrative Support Coordinator will also provide post-award support for all funded grants and projects which will include all external grants, intramural grants, and projects sponsored by industry, foundation, or individuals. Work will include assisting faculty with budget management, purchasing, and student worker hiring and timekeeping, and grant reporting requirements. Serves as liaison between the ECS Dean's office and the University campus at large (e.g., Academic Programs, Scheduling, Finance, Human Resources and Inclusive Excellence (HRIE), University Extension, Philanthropic Foundation, Auxiliary Services Corporation, etc.).
Works independently on majority of assigned tasks to resolve daily problems using judgment and sound solutions while being mindful of campus and ECS policies and procedures. Essential Qualifications
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Job Description
The Audio ProjectCoordinator will be responsible for jobs related to audio and media post-production services. Primary responsibilities include scheduling incoming audio work orders, coordinating with operators, and overseeing project completion.
