As a Service Dispatcher, you will have the opportunity to support our Service Department with scheduling daily service activities for a team of HVAC and Plumbing service technicians within an assigned region. The Service Dispatcher will serve as a vital link between SVM's commercial customers and field technicians, ensuring the accurate scheduling of field technicians and the highest level of customer service is upheld. What you will do Schedule routine maintenance visits, service calls and quoted repairs for assigned technician team. Evaluates incoming service requests, determining their nature and urgency, and assign an available technician with the required skillset. Monitors assigned team's technician schedule to ensure the timely completion of service calls, promptly notifying relevant personnel of any availability changes. Generate work orders (WOs) and audit submitted WOs from field team, ensuring hours worked, work performed, and PO number referenced. Create, update, and maintain customer accounts within the system, ensuring notes reflect site protocols for our field technicians. Monitor Technician's service call progress, advising for follow-ups as required. Communicate with customers, both verbally and written, to coordinate schedules, address incoming inquiries, and provide timely updates on technician arrival times and any service-related information. Escalate recommended solutions and warranty inquiries as needed to the area Foremen and assigned Account Manager. Submit necessary paperwork upon completion of assigned jobs including WOs, POs, and Special Reports. Prepares monthly reports for the Lead Dispatcher outlining assigned technician team's PM hours and open WO's. Transition incoming calls into Service leads. Approve Technician's schedule, ensuring Foreman are notified of any availability changes. Support Service Admin with timecard related questions. Support the Service department with other tasks and projects as business requires. Education, Skills & Experience 3+ years' experience in a customer service or similar role required. Prior experience as a Dispatcher highly preferred. 2+ years' experience working with a mechanical contractor highly preferred. High school diploma or general education degree (GED; or equivalent combination of education and experience) required. Highly proficient with various office equipment and programs including MS Office Suite (Word, Outlook, Excel) required. Working knowledge of HVAC systems and common terminology utilized highly preferred. Excellent written and verbal communication skills required. The Dispatcher serves as the critical communication hub between the Sales/Events Teams and the Operations Team, maintaining the accuracy of event documentation and resolving scheduling conflicts to support seamless catering execution. **The great things you will be expected to do:** **Assigning of Events & Resource Planning** + Assign event deliveries and pickups to appropriate driver resources based on critical factors such as event type, size, resource needs, and required delivery/pickup times. + Adjust and confirm event departure and kitchen preparation times within the CaterTrax system. + Create and maintain a master sheet derived from CaterTrax data to clearly outline all event and delivery logistics. + Upon completion of weekly event assignments, determine and communicate the required shift needs for the following week to the appropriate manager to ensure adequate staffing levels. **Weekly Schedule Management** + Input the determined staff shifts needed for all assigned events into the designated autoscheduling platform. + Run the autoscheduler script to generate the optimized weekly staff schedule. **Updating and Maintaining Master Sheet** + Monitor the BEO (Banquet Event Order) Updates tab or equivalent section of the catering master sheet for all incoming changes and revisions. + Execute necessary changes and updates stemming from BEO updates, including applying revisions directly within the CaterTrax system and reflecting corresponding changes on the master sheet. + Guarantee that the master sheet serves as the single source of truth for all event logistics, ensuring synchronization across all operational documents. **Communication with Other Departments** + Actively monitor designated communication channels to capture real-time updates and changes originating from the Sales and Events Teams. + Collaborate directly with the Sales and Events Teams to effectively coordinate all necessary delivery and pickup logistics. + Serve as the primary liaison between the Sales/Events Teams and the Operations Team, ensuring that all crucial updates, changes, and final event details are received by Operations in a timely and accurate manner to prevent scheduling or execution errors. **Minimum Qualifications** + Minimum of 2 years of similar work experience in a fast-paced logistics, dispatch, or high-volume catering/food service environment. + Proven experience working with scheduling software and/or event management systems (experience with CaterTrax is a plus). + Excellent analytical and organizational skills with an acute attention to detail. + Exceptional communication skills, both written and verbal, with the ability to convey complex logistics clearly and professionally. + Proactive mindset and proven ability to problem-solve real-time scheduling and logistical issues under pressure. + Working knowledge of Microsoft Excel/Google Sheets for data management and tracking. + Ability to work independently as well as collaboratively in a team setting. _While this schedule and location are currently projected, they are flexible and may be adjusted to meet evolving business demands, including coverage needs._ Associates at Bon Appétit are offered many fantastic benefits.
