What You'll Do:
Answers the phone, transfers calls and takes messages as needed for the clinic.
Greets patients and maintains patient and visitor log. Notifies appropriate person of the patient's arrival. Provides translation services as needed to patients.
Ensures accurate and complete data and forms are collected for all patients. Creates and maintains patient charts, registering new patients and updating patient data in the computer.
Schedules patient appointments according to scheduling guidelines, appointment type, and time needed. Notifies appropriate Provider of all patient no-shows and cancellations. Adjusts and updates the schedule for cancellations, new patients and recall appointments.
Verifies patient's insurance eligibility and obtains and files insurance documentation. Assists patients with questions regarding insurance plans as needed.
Reviews and responds to patients' questions in person, via phone, and patient portal systems.
May perform routine billing functions such as posting patient encounters, encouraging payment, taking payments and generating end-of-day reports.
Reviews cash box receipts and reconciles cash box daily.
Qualifications:
High School Diploma or General Education Diploma (GED).
One year's experience as a Receptionist in a clinic preferred.
Bilingual (English/Spanish) required at level 9.
Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions.
Ability to interact with patients, Providers and staff in a professional manner.
Ability to deliver outstanding customer service.

The Check-Out Receptionist (COR) is responsible for greeting patients as they check-out and offer them friendly and prompt assistance while coordinating the patient care. The COR reviews the provider's orders to determine necessary treatment plan and schedule future appointment/s accordingly. If patient does not schedule the suggested appointment, the patient is entered into the recall system for their 1 year annual check. Products are sold and dispensed at checkout. Prescription log is kept up to date daily. Recall is created for 3 week with aesthetician for every patient that purchase products. Outstanding balances are collected as well as deductible, coinsurances and any other payment due. Credits are used or refunded at time of checkout (send task to billing manager). Monetary collections are balanced daily, entered into the DNR for reconciliation, and deposited daily. The COR reviews and posts charges daily once notes are signed off by provider.

Applying the minimum necessary rules of HIPAA, the designated record sets to which this employee has access include: patient demographics and account information in the practice management system, encounter forms, user batch reports and payment posting reports generated by the practice management system, the patient information section of the medical record, the HIPAA section, recent progress notes (as needed to answer scheduling questions), and the problem list/immunization record (to provide copies to patients upon their request). This position is required to read and use the content of these records only to the extent needed to accomplish the assigned task.
