This is a full-time exempt position with benefits, reporting to the President and Executive Vice President. Initial employment will be on a introductory basis, with detailed evaluations and feedback at the 30-, 60-, and 90-day marks.
Position Summary
The Executive Assistant (EA) supports the President and the Executive Vice President (EVP) in the day-to-day management of the Organization and its Affiliates. The EA serves as the contact and coordination person for internal and external constituencies, including the CEOs of the major Chicago area corporations and leaders throughout the state as well as their offices on all matters pertaining to the President and EVP. The individual must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The EA will serve as a key point person to communicate to staff and members on certain issues when directed to do so, have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. A positive attitude, flexibility and team working abilities are critical.
The individual in this role is also responsible for the operational objectives of the Civic Committee and Board of Directors of the Commercial Club and Civic Committee.
Position Responsibilities
Manages all administrative tasks for the President and EVP including: their active calendars of appointments; coordinating, finalizing and distributing background materials for meetings and various operating committees with Civic Committee/Commercial Club entities; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas.
Researches and compiles basic briefing materials, including bios of meeting attendees, advance information provided by the meeting attendees, and other pertinent background information.
Plans, coordinates and ensures the President and EVP's schedule is followed and respected. Provides "gateway and gatekeeper" role, creating win-win situations for direct access to the President's and EVP's time and office.
Coordinates and develops a rapport with other Executive Assistants, internal and external, to manage complex schedules and tasks.
Orchestrates and communicates with President and EVP to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping all necessary parties updated.
Communicates directly, and on behalf of the President and EVP when asked to do so, with committee members on matters related to programmatic initiatives.

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks as needed.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures and ambiguity.
Works with the Director of Membership and Events to schedule meetings and confirm locations for the Civic Committee and Board of Directors Meetings.
Partners with Director of Membership and Events and EVP to strategize outreach to prospective Commercial Club and Civic Committee members, including scheduling meetings between the President and prospects and ensuring planned correspondence is sent.
Provide planning and meeting support for Commercial Club and Civic Committee meetings including tracking attendance, electronic and hardcopy material assembly, passing out name tags, providing directions, running slide presentations, assistance to attendees, and other duties as needed
Position RequirementsEducation and Experience Requirements
Strong work tenure: five to 10 years of experience supporting C-Level Executives, preferably in a non-profit organization
Experience and interest in internal and external communications
Expert in Microsoft Office (Outlook, Word, Excel, Teams and Power Point), Adobe Acrobat, Zoom
Experience in Salesforce preferred
Experience in board book platforms such as Govenda, BoardVantage, or others preferred
Basic writing and editing skills.
Able to take general guidance regarding the content of a communication or edits to a document and create a grammatically correct, formatted document that is ready for review and distribution

The Role: Dental Dreams in seeks a motivated Office Manager professional with managerial dental practice experience. This position will focus on achieving operational goals, managing employee relations, and patient relations. The scope of the role is to assist and cover the front desk staff, fulfill the scheduling requirements and provide the necessary support to the Dental Assistants and Dentists.

Responsibilities:
Supervise all front and back-office staff; and cover those roles if necessary.
Have a patient-centric disposition and foster a culture of service
Hiring & training of support staff, performance management & annual reviews
Accurately verify dental benefits and check-in/out processes
Assist with presenting and/or explaining treatment plans
Collect payments, co-payments, and deductibles
Overseeing patient scheduling per goals
Create insurance claims and submit pre-authorizations to insurance companies on a timely basis
Pull patient charts for future appointments when necessary
Other duties as assigned
Qualifications:
Required:
Managerial and Dental Assistant experience
Possesses a track record for providing outstanding customer service
Must be able to work in a fast-paced, hands-on environment
Preferred:
Dental practice management experience
Bilingual
Knowledge in ADP Workforce, Dentrix, and/or Eaglesoft

To oversee and coordinate administrative and operational activities within an office environment. They are responsible for ensuring the smooth functioning of day-to-day operations & functions, managing office resources, and providing support to employees.
*This role is 5 days in the office in the West Loop Chicago area. Responsibilities:
Maintain a well organized, clean and well-presented office, including all workspaces, meeting rooms, kitchens, showroom and all other common areas.
Oversee the management and ensure smooth running of Front of House including ensuring that phone system and office security is managed effectively.
Coordinate internal and external meetings, and manage meeting room set up, calendar/diary coordination; includes the close management of recurring meetings and ensuring meetings are aligned (attendees, catering, etc.), internal communications
Design and implement office policies and procedures, including establishing standards and documentation.
Coordinate the presentation content and logistics of the biweekly company stand up (Fire Up Meeting)
Organise company functions and events and coordinate involvement in events in collaboration with Marketing and People & Culture teams.
Budget management for office operations and amenities.
Track and manage expenses for the NAM Senior Leadership Team (excl NAM President, including preparing expense reports and ensuring adherence to the budget.
Organize and book complex domestic travel itineraries and ensure adherence to company policies.
Source and manage vendors for office amenities and facility maintenance, including all consumables (kitchens, bathroom, stationery, first aid kit) and office equipment as well as any trades or service people.
Support the general office and wider business by assisting with administrative support and driving culture, engagement and change throughout the company.
Manage all aspects of Chicago company events.
Support the People and Culture Team (HR) with administrative assistance as required, in relation to for example Thrive program, onboarding, offboarding, recruitment, OSHA, documentation and administration.
As required, support the President of NAM and Global CEO with personal administration tasks - including, but not limited to, running errands, managing bookings, travel, calendar management etc.
Qualifications:
Minimum 5 years' experience in an Office Manager/Senior Administration role
Previous experience in a medium to large organisation, ideally through a period of growth
Demonstrated involvement in transforming office processes and facilitating changes in office operations.
Proficiency in Microsoft office suite (Including Outlook, Teams, PowerPoint, Word, Excel)
Capabilities:
Able to exercise a high level of confidentiality.
Ability to work autonomously & collaboratively as part of a team environment.
Maintain a high level of organization and prioritization.
Able to exercise effective time management.
Exceptional customer service skills, with a focus on delivering high quality service to both internal and external stakeholders.

Excellent written and verbal communication skills, with negotiation and conflict management skills.
Ability to undertake process improvements and drive process transformation.
$75,000 - $85,000 a year
Full Salary Range: $75,000 (minimum), $80,000 (midpoint), $85,000 (maximum).
Pay is based on relevant experience, skills, education, internal equity, and market data. Well-qualified candidates can generally expect offers around the midpoint. Candidates who meet the minimum qualifications but have more limited directly relevant experience for this specific role are typically placed nearer the minimum, while highly experienced candidates with strong role alignment may be placed closer to the maximum.
