Job Description:
SUMMARY:
This is a mid-level position responsible for providing secretarial and clerical support services to a unit or department. While actual duties may vary according to each unit's needs, the incumbent primarily provides skilled keyboarding services in addition to a range of clerical support functions. The position differs from Office Assistant in that the services it provides tend to be broader and more complex. Typically, the incumbent may work for a satellite office, providing some administrative support to a unit leader, or limited supervision to another clerical support position. The incumbent may be expected to be more familiar with polices relating to the administration of the county or the department. The position differs from Supervising Office Assistant in that any supervision exercised tends to be limited and over a much smaller unit. The work is performed under general departmental guidelines, with some input in the development of unit related procedures in relation to record keeping and support procedures. Supervision may be exercised over the work of lower level employees, including the assignment and review of work and scheduling for coverage.

Responsibilities
* Support both Accounts Payable and Accounts Receivable
* Assist with payroll and HR functions in the venue
* Assist with event settlements
* Post vendor invoices and matching them to purchase orders
* Address any vendor questions
* Set up new vendors
* Check Accounts Payable Mailbox
* Process invoices, voids and refunds
* Daily bank deposits/TM Sales Deposits
* Create customer statements
* Support for audit requests
* Research vendor inquiries
* Overseeing daily office operations to ensure efficiency and organization
* Answering phone calls and emails and directing inquiries to the appropriate department or employee based on the nature of the request
* Greeting customers and other visitors and directing them to offices and meeting rooms
* Tracking, replenishing and ordering office supplies to avoid interruptions in standard front office procedures
Qualifications
* Degree in Business or related field is desirable
* Proficiency in Microsoft such as word processing and spreadsheet applications
* Excellent interpersonal and communication skills
* Demonstrated ability to function in a fast paced, high-pressure environment
* Responsible to work independently
* Payroll and scheduling system background
* Prior purchasing experience is a plus
* Must be initiative-taking with excellent organizational skills

Education, Experience, & Qualifications
