We are seeking a highly organized and proactive Project Coordinator to support multiple workstreams and assist with day-to-day operations. Unlike traditional project coordinator roles tied to a single project, this position will focus on helping keep three critical workstreams on track, working closely with Rob and senior leadership to ensure timely execution and follow-through.
Key Responsibilities
Support Multiple Workstreams: Assist in coordinating activities across three workstreams, ensuring alignment and progress toward goals.
Meeting Participation & Follow-Up: Shadow Rob in meetings, capture action items, and set up regular touchpoints to follow up with stakeholders.
Proactive Communication: Create and manage Slack channels for follow-ups.
Track requests and deadlines, and proactively check in with teams via email, Slack, and phone.
Push Directors and Executive Directors in a kind but firm manner to maintain accountability.
Action Tracking: Ensure all tasks and deliverables are completed on time by monitoring progress and escalating issues when necessary.
ITIL Awareness (Preferred): Familiarity with ITIL processes such as Incident Management, Ovation Health Monitoring, and Platform Engineering is a plus.
Tool Utilization: Use Jira to track tasks and manage workflows effectively.

About the Role
Utilize administrative and technical skills to provide support to assigned brokerage team(s); to help them achieve their business plan goals and objectives each year. This role will be responsible for maintaining document control, database information, tracking project activities within project timelines, and facilitating team communication.
Responsibilities:
Attend weekly project meetings as requested by PM and keep detailed meeting minutes for publishing to project team.
Train and become familiar with various client work management programs.
Gather all project information: schedules, data requests, assignments, and project meetings.
Modify project schedules based on variable constraints, such as customer need dates, priorities, resource availability, etc.
Coordinate and follow up with customers and subcontractors about specific projects and their status
Create and modify various documents using Microsoft Office and SharePoint share file.

Qualifications:
0-3 years of experience as a Project Controls Coordinator or closely related field with a bachelor's degree

Work Hours
* The role is based on the Elmhurst University campus, with some remote/elastically flexible work as needed.
* Some evening or weekend work may be required for events, trainings or partner meetings.
* Travel may be required to partner schools, conferences or meetings associated with the grant.
* This is a hourly, grant-funded position with an anticipated duration of four to five years, contingent upon continued grant funding. Compensation will be $25 per hour, with an estimated 4-8 hours of work per week (350 annually) over 48-weeks.
