The Program Specialist III will work with the Director of Distance learning to manage operations of the Petroleum Engineering online graduate and continuing education programs.
Responsibilities:
Distance Learning:
* Coordinate distance learning applications, answer application questions/emails, respond to all distance learning email inquiries, schedule PhD application interviews, and follow up on incomplete applications. Prepares applications for review by the director.
* Advise current distance learning students, audit students' records, and advise on degree plans, graduation and defense forms, and other academic issues, including billing questions, drops/adds and withdrawal requests, registration, and degree plan blocks.
* Educates distance learning students on the requirements for degree completion, including the registration processes in HOWDY, degree plan and petition submission (DPSS), and form submission (ARCS).
* Monitor and assist in maintaining the DL listserv/database and compile statistical data for the distance learning program.
* Prepare and update PowerPoint presentations for student orientations.
* Assist with distance learning program assessment, including HelioCampus and College of Engineering reports.
* Supports Graduate Programs Office duties and objectives as needed, to include the annual Student Paper Contest and other duties as assigned.
* Maintain the director's calendar, scheduling meetings, interviews, and conferences. Compose and edit correspondence and letters. Monitor action items and initiate follow-ups to ensure timely responses to meet all deadlines.
Continuing Education
* Work with TEES EDGE to monitor course/certificate offerings, track, and maintain a database of registered students, monitor their progress, and send reminders for completion and deadlines.
* Check all certificates awarded for accuracy and record the file.
* Work with faculty to create new courses, assist with implementing course material into Canvas, and review material for ADA compliance.
* In conjunction with TEES EDGE, facilitate all faculty short course offerings with external partners, including contract negotiation/completion, course registration, delivery, and all meeting logistics as needed.
* Maintain records/data for both certificate programs and short courses.
Recruiting (20% travel)
* Travel to multiple conferences yearly to promote the online graduate degree programs and recruit prospective students.
* Prepare and ship the recruiting booth, coordinate booth set-up at each event, and ship recruiting material.
* Update PowerPoint presentations for recruiting as needed.

The Undergraduate and Graduate Programs Office in the Department of Agricultural Economics supports academic advising, student services, and program operations for departmental degree programs. The office works closely with faculty, staff, and central university partners to ensure smooth program administration and effective support for both undergraduate and graduate students.
We are seeking a ProgramCoordinator I to provide administrative and programmatic support across both undergraduate and graduate academic programs. This position works closely with the Undergraduate Programs Office while also assisting with key graduate program activities.
This role is ideal for a highly organized, service-oriented individual who enjoys supporting students, managing administrative processes, and coordinatingprogram activities in a dynamic academic environment.
Responsibilities
Undergraduate Program Support (Primary Focus)
Support daily operations of the Undergraduate Programs Office, serving as a point of contact for students, faculty, and staff.
Respond to inquiries from current and prospective undergraduate students regarding degree requirements, curricula, and course scheduling; refer complex matters as appropriate.
Coordinate the department's Honors Program by recruiting honors students, monitoring compliance and academic progress, collaborating with the University Honors Academy on student status decisions, disseminating professional development opportunities, and planning co-curricular engagement events each semester.
Maintain undergraduate student records and databases in accordance with university policies.
Manage internship documentation and enrollment.
Assist with planning and execution of undergraduate program events such as orientations, kickoff events, recruitment activities, and awards ceremonies.
Assist with supervision, scheduling, and training of student workers as assigned.
Assist in management of scholarship accounts, awards, and processing.
Graduate Program Administrative Support
Provide administrative support for departmental graduate programs in coordination with graduate program leadership, faculty, and staff.
Assist with coordinating and tracking graduate student contracts, appointments, and employment-related documentation in collaboration with the departmental business office.
Maintain accurate records related to graduate student hiring, funding, and appointments.
Provide logistical and administrative support for graduate program activities, orientations, meetings, and events as needed.
Help prepare assessment reports.
General Program and Administrative Support
Prepare correspondence, reports, forms, and other documents using word processing, spreadsheet, and presentation software.
Schedule meetings, reserve rooms, and assist with event logistics and communications.
Monitor shared email inboxes and route inquiries appropriately.
Assist with purchasing, travel documentation, and basic financial processing in accordance with Texas A&M University and departmental procedures.
Maintain files and perform other duties as assigned in support of undergraduate and graduate programs.
Other duties as assigned.
Required Education and Experience
Bachelor's degree or an equivalent combination of education and experience.
Two years of related administrative, programcoordination, or student services experience.
Preferred Qualifications
Experience supporting undergraduate and/or graduate academic programs in higher education.
Experience coordinating student employment, contracts, or appointments.
Familiarity with Texas A&M University systems such as Howdy, Compass, Workday, or similar platforms.
Experience handling confidential student or personnel information.
Knowledge, Skills, and Abilities

Purpose:
The Program Specialist II supports the day-to-day operations of the Engineering Honors Program with a focus on event logistics, recruitment, programcoordination, and operational support. This role partners closely with professional staff, student leaders, campus partners, and industry partners to ensure programs run smoothly, information is accurate, and timelines are met.
Key Responsibilities
1. Event Logistics & Coordination
* Coordinate planning and execution for Engineering Honors events, including large-scale programs (e.g., career fairs, orientations) and smaller engagement events
* Manage logistics such as timelines, supplies, space reservations, vendor coordination, and on-site support
* Anticipate needs, track details, and troubleshoot issues as they arise
* Work with student leaders and volunteers to support event execution
* Support events that involve external partners, including industry speakers, sponsors, and recruiters, as needed
