Typical Duties and Responsibilities:

* Coordinate and execute Employee Milestone Events.
* Coordinate on-site Food Trucks and all internal catering.
* Maintain all Events managed internal websites. Maintain and process all internal Events requests.
* Provide support for all DMP Cares projects to include building relationships, organizing volunteer opportunities for DMP employees, volunteer hours, and registration sign-up.
* Assist with negotiating contracts, booking event space, arranging food and beverage, and booking talent for all DMP internal Events, including two annual Summits, annual Christmas Party, and Annual Family Picnic.
* Assist with planning of internal Employee Events, as well as execute setup, distribute digital and physical invitations, etc.
* Provide support and serve as back-up to Events Manager with all internal and external DMP Events, including Owners Forum and Dealer Roundtables.
* Protects operation by keeping information confidential.
* Observes company policies. Continuously strives to find processes that create improved efficiency while maintaining conformance to requirements.
* Observes and adheres to DMP Data Classification standard.
* Contributes to team effort by performing other duties as assigned. Job duties are subject to change as directed by management.

Duties/Responsibilities:
Organize, plan, and budget for in-person and virtual meetings, events, and education classes.
Facilitate virtual meetings and classes.
Schedule and book meeting spaces and coordinateevents according to each individual meeting, event, or class.
Book travel including flights and hotels for different employees ranging from Director level to Educator Contractors according to the budget guidelines.
Prepare or contribute to monthly and quarterly financial reports of all meetings, events, and classes you manage or support. This includes updating budget reports and maintaining a file of credit card receipts.
Work directly with Education Manager to maintain combined SSG Education budget Monthly, Quarterly and Yearly.
Coordinate education classes and schedule educator contractors for those events.
Prep, pack and ship items for meetings, events, and Education classes.
Maintain a file of Education product inventory.
Partner with outside Manufacturer Representatives to coordinate their event needs.
Work with Outside Sales Consultants and other departments within our organization to ensure meetings and events meet goals within budget.
Represent Salon Service Group at events and provide support for set-up at large events as needed. (Typically 2-4 events annually)
Plan and execute corporate events, both virtual and in-person, for 10-250 attendees.
Collaborate with the Education team for seamless event execution.
Coordinate all pre-event logistics, including venue selection, catering, and travel arrangements in various markets.
Utilize iBeAuthentic, Excel, and Microsoft Planner, or other event management software for efficient project management and budgeting.
Required Skills/Abilities:
Experience with event planning and organization of special events, including familiarity with general accepted practices of the industry
Experience working in an office setting with shifting priorities, constant interruptions, changing assignments, time-sensitive projects, heavy workload, and multiple projects simultaneously assigned by different staff.
Talent to create aesthetically pleasing materials and physical surroundings for events, including space planning.
Ability to interact, communicate, and utilize high level negotiation skills to facilitate solutions in a positive manner.

What You Will Do
Collaborate directly with clients to craft detailed, unforgettable event experiences.
Lead banquet coordination by managing timely BEO creation and distribution.
Drive revenue through upselling opportunities and proactive communication with clients.
Monitor guestroom blocks and ensure contracts are on track to avoid attrition charges.
Manage payments from start to finish, ensuring every invoice is clear and accurate.
Show up and shine: lead site tours, join pre- and post-event meetings, and be there for event execution.
Support the Sales and Marketing team with sales activities and revenue checks.

Job Description
The Group Sales Coordinator supports the hotel's sales team by managing the group's booking process, coordinating sales activities, maintaining client relationships, and ensuring all administrative and logistical aspects of group events and contracts are handled efficiently. This role acts as a liaison between clients and hotel departments to deliver seamless group experiences while maximizing revenue opportunities.

As a Group Sales Coordinator you will:
Answer and manage incoming phone calls promptly and professionally, directing inquiries appropriately and providing excellent customer service to potential and existing clients
Handle telephone inquiries related to group bookings, event details, and general sales questions, ensuring accurate and courteous communication
Handle website initial inquiries and assist in creating proposals for prospects regarding event spaces, guestroom blocks, dining options, and amenities
Monitor group sales inbox and voicemail; respond promptly to inquiries
Manage group booking contracts, coordinate deposits, rooming lists, and special requests with relevant hotel departments
Maintain accurate sales records, update client information in reservation and CRM systems (e.g., Delphi, iVvy, SalesPro), and prepares group resumes and pick-up reports
Serve as the primary point of contact for group clients, ensuring timely communication and exceptional customer service throughout the sales and event process
Assist sales managers with site inspections, client meetings, event planning logistics, and coordinating cross-departmental efforts
Attend pre-convention meetings and represent the hotel during client site visits or events when needed
Qualifications
