MAIL CLERK FINANCE CLAYTON COUNTY, GEORGIA CLASSIFICATION TITLE: MAIL CLERK - FULL TIME - (M-F) PURPOSE OF CLASSIFICATION The purpose of this classification is to sort and direct incoming and outgoing interoffice and U.S. Postal Service mail for all County departments.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Sorts U.S. and interoffice mail; prepares mail to be delivered to all County departments; participates in and coordinates deliveries to County buildings.
Affixes postage on outgoing U.S. mail through the use of postage meter and machine; ensures envelopes are stamped correctly.
Counts and completes three part receipt for monies coming in for deposit into the County's operating account; copies checks and money orders.
Purchases U.S. postage stamps for sale in the mailroom; sells stamps.
Replaces tape, ink, and water in postage machine; orders postage for postage meter/machine; orders postal supplies.
Prepares records for incoming certified mail; prepares accounting postage reports for various accounts.
Opens and sorts mail for the Finance/Accounting Department; distributes mail to different areas within the Finance/ Accounting Department.
Answers incoming telephone calls to mailroom.
ADDITIONAL FUNCTIONS
Stuffs and labels envelopes.
Assists in sealing payroll checks.
Performs other related duties as required.
MINIMUM QUALIFICATIONS
High school diploma or GED; supplemented by one (1) year previous experience and/or training that includes clerical work and mailroom services; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Good oral and written communication skills are required when interacting with students, faculty, employees and equipment vendors. Also, the incumbent must be able to read, analyze, and interpret documents such as operating and maintenance instructions, and procedural manuals.

The Mail Center Clerk for the Spelman College Mail Center is an employee who works in a high volume, high traffic environment and has the primary responsibility for receiving and distributing mail (including parcels) to the Spelman College community. Participate in clerical and delivery duties. Calculate postage and advise customers as to the most efficient and economical methods of mailing postal materials.
Essential Duties And Responsibilities
Receive, sort and distribute incoming campus and United States Postal Service mail and correspondence to customer mailboxes according to mail service guidelines; Avg annual volume 740,000. Utilize the Quadient Web Tracking system to capture signatures of patrons when delivering trackable items. Deliver accountable mail and parcels over the counter and to departments capturing signatures on signature pads and entering this information in the Quadient Web Tracking system. Research and mark-up undeliverable and nixie mail according to Mail Markup Manual. Troubleshoot and resolve inquiries where it pertains to letters mailed to Spelman College. Provide services to patrons at the window or by telephone concerning services, products, policy, and procedures. Process large last-minute mailing with time sensitive deadlines; volume could exceed 2500 pieces. Advise customers as to the most efficient and economical methods of mailing postal materials. Prepare outgoing mail for dispatch to the U.S. Postal Service according to U.S. Postal guidelines. Average annual volume is 710,000; Utilize internal Mail Center application when forwarding mail and parcels to former Spelman College students according to U.S. Postal guidelines. Average 700 forwarding enteries; Assist patrons with preparing letters and parcels for shipment utilizing the U.S. Postal web-based Click n Ship application; Operate PowerPost high-volume meter machine to calculate, apply postage and seal envelopes on all domestic mail, international mail and special mail services.
Physical Demands
While performing the duties of this job, the employee is regularly required to: stand, walk, reach with hands and arms, and talk or hear. The employee is frequently required to: use hands for computers, and postal equipment, to move items and lift and/or move up to 50 pounds using appropriate equipment provided by the department. The employee is occasionally required to: sit, and lift up to 100 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
Required Qualifications
High School diploma, or equivalent. This position requires strong customer service skills as well as good verbal and written computer skills. Computer literacy is required. Knowledge of United Postal Service, United Parcel Service, FedEx and DHL /Airborne procedures and guidelines preferred. Experience with postal meters and other mail related machines are preferred. Good oral and written communication skills are required when interacting with students, faculty, employees and equipment vendors. Also, the incumbent must be able to read, analyze, and interpret documents such as operating and maintenance instructions, and procedural manuals. To perform this job successfully, an individual must have beginner skills using Microsoft Office Suite (Word, Excel, and PowerPoint) .
