**ABOUT THE ROLE**
The Project Administrative Assistant at Cupertino Electric provides daily support to the Commercial Interiors Team that includes Senior Project Managers, Project Managers, AssistantProject Managers, and Project Engineers. This role is vital in ensuring information flow between office, field, vendors, and general contractors.
+ Support the Interiors team that may consist of Senior Project Manager's, Project Managers, APM's and Project Engineers including information flow between office, field, vendors and general contractors.
+ Coordination of job start and job close
+ Contract routing
+ Data entry for weekly field employee hours, processing of material to purchasing agent
+ Work with personnel to assist in data entry for job tasks
+ Maintain and update job files, controlled forms/logs
+ Order drawings for field/office personnel
+ Phones, copying, scanning and shipping
**Skill:** Applies acquired job skills and company policies and procedures to complete assigned tasks.
**Job Complexity:** Works on assignments that are semi-routine in nature but recognizes the need for occasional deviation from accepted practice.
**Supervision:** Normally follows established procedures on routine work, requires instructions only on new assignments.

A day in the life of a construction project coordinator at Graham Construction, a 3G Company: This is a position that plays an important role in our construction projects. They assist through all the life-cycles of a project by supporting the project teams and our clients with a variety of tasks.
Reports to: Project Manager
Purpose: The purpose of this job is to assist the Project Team in the management of resources involved/related to projects and ensure quality work is performed in a timely and cost-effective manner.
What you'll do:
Sets up and coordinates administrative documents and duties for construction projects from beginning of project to project conclusion
Assists with contracts, insurance certificates, and bid solicitation
Reviews submittals, change orders, purchase orders
Utilize Procore software to organize project documents and notes
Represent Graham Construction, a 3G Company in external meetings with owners and trade partners
Follow Graham Core Process
All other duties as assigned
Ability to learn to understand and read architectural drawings from schematic to construction documents.
Practices “Closeout Excellence”. Reviews, tracks, and compiles O&M manuals, extra material and warranty information.

**ABOUT THE ROLE**
The Internship Program at Cupertino Electric, Inc. is a 10-to-12-week program designed to expose undergraduate and post-graduate students to various aspects of CEI's core markets: Commercial, Data Center, and Energy & Renewables. The program offers students unique opportunities to contribute to real-world projects and make meaningful industry connections. Although we are headquartered in California, we have major projects and offices in many other states including Ohio, Iowa, Wisconsin, New Mexico, and Utah.
_Below is a detailed example of responsibilities an intern may participate in or contribute to during their time with CEI:_
+ **Estimate Phase** : Creating a bid strategy, getting quotations, and writing proposal letters.
+ **Pre-Construction:** Negotiating contract terms, creating an original budget and schedule. Creating a plan with the production team to address; efficiency, logistics, and materials. Organizing all documents and drawings, selecting subcontractors and holding a job start meeting.
+ **Construction:** Managing materials, submittals, and change orders. Maintaining activity logs, managing materials, vendors, and subcontractors. Writing documents including RFI's and notice letters. Monitoring project progress, including cost and safety.
+ **Closeout:** Managing closeout documents, commissioning equipment, and returning excess material.

The Project Coordinator will support project managers and field leadership in organizing, tracking, and executing key administrative and operational tasks for hyperscale electrical construction projects. This role ensures project documentation, schedules, procurement, and communication flows are accurate, timely, and aligned with client expectations and internal processes.
Responsibilities include but are not limited to:
Provide administrative assistance to on-site project manager and field management
Create and maintain job files, track personnel and type miscellaneous documents as requested
Schedule personnel and process new hire paperwork
Compile information needed (order tracking, attendance, manpower, etc)
Enter weekly payroll hours into accounting software
Performs filing, faxing, copying, and scanning
Assist with monthly billing process
Assist procurement with smaller purchases
Coordinating and setting up all onsite events/meetings

Qualifications:

2-5 years of administrative support experience and/or the equivalent combination of education and experience.
